Section 01

Information We May Collect

Information may be collected when a parent, legal guardian or other authorized payer uses the 13U Academy website, completes a payment, communicates with CYOJ Hit Lab or completes a related Academy process.

Depending on the interaction, this information may include:

• Parent, guardian or payer name.
• Email address.
• Telephone number.
• Athlete name and information necessary to associate the athlete with the applicable Academy team or membership.
• Payment option selected.
• Payment amounts, transaction status, transaction identifiers and payment-history information.
• Membership status, membership identification information and digital membership-card information.
• Communications submitted to CYOJ Hit Lab regarding the Academy, payments, membership or participation.
• Information submitted separately through the applicable CYOJ Hit Lab Athlete Waiver process.

Section 02

Payment Information

Academy payments are processed using Stripe. Payment information entered during Stripe checkout is provided directly to Stripe and processed using Stripe's systems.

If the installment plan is selected, Stripe may securely retain the authorized payment method for later scheduled Academy installments.

Section 03

Athlete Waiver Information

The CYOJ Hit Lab Athlete Waiver is completed separately through Jotform.

Information submitted through that waiver may include athlete, parent or guardian information and other information requested within the current waiver form.

The Academy website and the Athlete Waiver are separate processes. Completing an Academy payment does not automatically complete the Athlete Waiver.

How Information Is Used

Information collected in connection with the 13U Academy may be used for legitimate Academy and facility purposes, including:

• Processing and confirming Academy payments.
• Administering scheduled installment payments.
• Associating payments with the correct athlete and team.
• Maintaining Academy payment and enrollment records.
• Activating and administering CYOJ Hit Lab membership access.
• Generating and maintaining digital membership-card records.
• Confirming whether an athlete's membership is active.
• Sending transaction, enrollment, membership or administrative communications.
• Responding to parent, guardian or payer questions.
• Maintaining facility and program security.
• Meeting applicable accounting, tax, legal or recordkeeping obligations.

Section 05

Service Providers

CYOJ Hit Lab uses third-party services to operate portions of the Academy website, payments, forms, hosting and communications.

These providers may process information necessary to perform their services and operate under their own privacy and security terms.

Section 06

Information Sharing

CYOJ Hit Lab may share information when reasonably necessary to operate the Academy, process payments, administer memberships, provide requested services, maintain security or comply with applicable legal obligations.

Information may be shared with:

• Service providers performing functions on behalf of CYOJ Hit Lab.
• Payment processors and financial-service providers involved in an authorized transaction.
• Academy administrators or authorized personnel when information is needed to operate the program.
• Legal, regulatory or governmental authorities when disclosure is required or reasonably necessary under applicable law.

Website & Technical Information

When the Academy website is accessed, routine technical information may be generated through hosting, networking, security or payment providers.

Depending on the service involved, this may include information such as IP address, browser or device information, request timestamps, page requests, security logs and other routine technical information used to deliver and protect the website.

This information may be used for website operation, troubleshooting, fraud prevention, security, performance and technical administration.

Children & Parent-Provided Information

The 13U Academy website is designed primarily for use by parents, legal guardians and authorized adult payers managing an athlete's Academy participation.

Athlete information should be submitted by a parent, legal guardian or other authorized adult when required for enrollment, payment, membership or related Academy administration.

CYOJ Hit Lab does not intend this Academy payment page to solicit payment information directly from children.

Section 09

Digital Membership Cards

Academy athletes may receive a digital CYOJ Hit Lab membership card after applicable payment and Athlete Waiver requirements have been satisfied.

Membership-card information may include the athlete's name, Academy team, membership period, unique membership identifier and a QR code or link used to verify current membership status.

The membership-status system is intended to display information reasonably necessary to confirm whether the applicable Academy membership is active.

Section 10

Data Retention

CYOJ Hit Lab may retain Academy, transaction, membership, communication and related records for as long as reasonably necessary to administer the program, maintain payment records, resolve disputes, comply with accounting or legal requirements, protect the organization and enforce applicable agreements.

Different records may be retained for different periods depending on their purpose and applicable requirements.

Section 11

Security

CYOJ Hit Lab uses reasonable administrative and technical measures intended to protect information associated with the Academy program.

Payment credentials are handled through the applicable payment processor rather than being directly stored by the Academy website.

No internet-based system, electronic transmission or electronic storage method can be guaranteed to be completely secure. Families should use reasonable care when submitting or transmitting personal information.

Section 12

Access, Corrections & Privacy Requests

A parent, legal guardian or payer may contact CYOJ Hit Lab regarding information associated with the family's Academy account, including reasonable requests to correct inaccurate contact or athlete information.

Requests involving deletion or removal of information may be subject to records that CYOJ Hit Lab must or reasonably needs to retain for payment, accounting, legal, safety, dispute-resolution or program-administration purposes.

External Services & Links

The Academy website may link to or interact with third-party services such as Stripe or Jotform.

Information submitted directly to a third-party service is also subject to that provider's privacy practices, terms and security procedures.

Families should review the privacy information provided by those services when appropriate.

Section 14

Changes to This Policy

CYOJ Hit Lab may update this Privacy Policy when reasonably necessary to reflect changes in the Academy website, technology, service providers, administrative practices or applicable requirements.

The version made available through the Academy website represents the current published policy.
